Privacy Policy

Kidtime (“Kidtime,” “we,” “our,” or “us”) is a coparenting application operated by VMGM Software LLC that helps parents and legal guardians coordinate child-related events, manage custody schedules, and view custody analytics. We are committed to protecting your privacy and being transparent about how we collect, use, and protect your information.
This Privacy Policy describes our policies and procedures on the collection, use, and disclosure of your information when you use the Kidtime mobile application and website (the “Service”) and explains your privacy rights and how the law protects you.
By using the Service, you agree to the collection and use of information in accordance with this Privacy Policy.
Interpretation and Definitions
For the purposes of this Privacy Policy:
- Account means a unique account created for you to access the Service or parts of the Service.
- Application refers to Kidtime, the software application provided by the Company.
- Company (referred to as “the Company,” “we,” “us,” or “our”) refers to VMGM Software LLC, 7729 Kiva Drive, Austin, Texas 78749, United States.
- Device means any device that can access the Service, such as a computer, smartphone, or tablet.
- Personal Data means any information that relates to an identified or identifiable individual.
- Service refers to the Application and website.
- Service Provider means any third party that processes data on behalf of the Company to support the operation of the Service.
- Usage Data means data collected automatically, either generated by the use of the Service or from the Service infrastructure itself.
- You means the individual accessing or using the Service, or the legal entity on behalf of which such individual is accessing or using the Service.
Information We Collect
A. Information You Provide
Kidtime is a place to keep a family record, so most of what we hold is information you or the people you share a calendar with have chosen to put there. Depending on how you use the Service, that may include:
- Name and email address
- Account and authentication information
- Details about the children in your family, such as names, dates of birth, and their schedule
- Entries you create and the details you add to them, including titles, dates, times, notes, and locations
- Coparent relationship and shared scheduling information
- Messages you exchange with others through the Service
- Images and files you upload
- Audio recordings and transcripts of conversations recorded through the Service, where you use a feature that records
- Financial information you record, such as shared costs and receipts
- Documents and reports the Service produces from the information above
Much of this is information about children. We treat it accordingly: it is not sold, not used for advertising, and not used to build profiles.
B. Usage Data
Usage Data is collected automatically when using the Service and may include:
- IP address
- Device type and operating system
- App usage statistics and diagnostic data
- Crash reports and error diagnostics, which may include the screen you were on and the action you were taking when a problem occurred
This information is used to maintain and improve the reliability and performance of the Service.
C. Session Recordings
To understand where people get stuck, we record a small sample of app and website sessions. A session recording captures how you moved through the Service — the screens you visited and where you tapped or clicked — and may therefore include information visible on screen at the time.
Recording is limited and sampled: most sessions are never recorded, and we do not record every part of the Service. Recordings are used only to diagnose problems and improve the Service. They are not used for advertising and are not sold.
You can ask us to delete recordings of your sessions at any time by contacting hello@kidtime.app, and we will delete them.
Google Calendar Access (Optional and User-Initiated)
Kidtime integrates with Google Calendar only if you explicitly opt in.
When enabled:
- Kidtime creates a separate calendar named “Kidtime” within your Google Calendar account
- Events created in the Kidtime app are added only to this Kidtime calendar
- This allows you to easily show or hide Kidtime events without affecting your personal calendars
We request limited Google Calendar permissions solely to:
- Create Kidtime events
- Update or delete Kidtime events when you make changes in the app
- Keep your Kidtime calendar synchronized with your in-app schedule
We do not:
- Read or analyze unrelated calendar events
- Access calendars not created by Kidtime
- Use Google Calendar data for advertising, marketing, or profiling
- Sell or share Google user data with third parties
You may revoke Google Calendar access at any time through your Google Account settings. Revoking access will stop calendar synchronization but will not delete your Kidtime account.
Google user data is used only to provide user-visible functionality within the Service and in compliance with Google API Services User Data Policy.
Use of Google API Data
Kidtime uses Google APIs (including Google Calendar) only to provide calendar synchronization features explicitly requested by the user.
Data obtained via Google APIs is never used to train, improve, validate, or otherwise be processed by any artificial intelligence or machine learning models, whether internal or external.
Under no circumstances is Google API data shared with, transmitted to, or processed by any third-party AI services, including large language model providers, regardless of whether such services are paid or free.
The automated features described below operate only on content you provide directly to Kidtime. They do not access, include, or process any data obtained from Google API sources.
Automated Processing and AI Features
Some parts of the Service use automated processing, including artificial intelligence, to provide a feature you have asked for. Depending on the feature, the content processed may include text you write, audio you record, and information already saved in your account that the feature needs in order to help you.
These features are used to analyze the tone of messages before you send them, to help you answer questions and complete documents by voice or in writing, and to produce written transcripts of audio recorded through the Service.
To provide them, we send the relevant content to third-party providers who process it on our behalf under contract. Those providers are not permitted to use your content to train their models, and they may not use it for any purpose other than returning a result to Kidtime. We do not use your content to train models of our own.
Automated processing supports you; it does not make decisions about you. Nothing in the Service uses these features to evaluate a parent, score a family, or produce a judgment about custody. Output is a suggestion or a record, and you decide what to do with it.

How We Use Information
We use the information we hold to:
- Provide and operate the Kidtime service
- Coordinate entries and records between the people you share with
- Offer optional features you switch on, such as calendar synchronization
- Generate summaries, analytics, documents, and exports for your own use
- Provide features that rely on automated processing, as described in Automated Processing and AI Features
- Take payment for a subscription and keep the records that requires
- Answer your support requests and investigate problems you report
- Keep the Service reliable and secure — diagnosing faults, fixing bugs, preventing abuse and fraud
- Communicate with you about your account and important service updates
- Comply with our legal obligations and respond to lawful requests
We do not use your information to advertise to you, to build a profile of you, or to make automated decisions about you. We do not sell it.
Data Sharing
Kidtime does not sell personal information and does not share it for advertising.
We share information only:
- With people you explicitly share a calendar or record with inside the app
- With anyone you choose to grant access to, for as long as you grant it — access you can withdraw at any time
- With Service Providers who process information on our behalf to run the Service, including hosting, storage, messaging, payments, automated processing, security, and error monitoring
- Where we are required to by law, such as in response to a valid subpoena, court order, or other lawful request, or where we believe in good faith that disclosure is necessary to prevent serious harm
All Service Providers are bound by contract to protect your information and to use it only to support Kidtime.
Because Kidtime is shared by design, remember that what you add is visible to the people you share it with. Information already shared with a coparent remains available to them even if you later remove it from your own view.
For the same reason, any participant may show the shared record to their own attorney or adviser, or grant them access to view it — just as they could print it out and hand it over. If you share a calendar or a conversation with someone, you should assume their professional advisers may see it. You can control this only by choosing what you put in a shared record.
If There Is a Data Breach
If we become aware of a security incident affecting your personal information, we will notify affected users and any regulators as required by applicable law, without undue delay, and tell you what happened and what you can do about it.
Data Retention and Deletion
We keep information for as long as your account is active, because the Service exists to hold a continuous family record. Beyond that:
- When you delete your account, we delete or anonymize the personal information associated with it within 30 days, except where we are required to keep something longer by law.
- Backups are kept on a short rolling cycle and are overwritten in the ordinary course, so deleted information also disappears from our backups within a few weeks.
- Shared content stays with the people you shared it with. Messages you sent, and entries on a calendar you share, remain part of that shared record and remain available to the other participants even after you delete your account. This is deliberate: it is a joint record, and one participant cannot unilaterally erase the other’s copy.
- Records we must keep, such as transaction and billing records, are retained for the period required by tax and accounting law.
You can delete your account from within the app, or request deletion by contacting hello@kidtime.app.
Children's Information
Kidtime is for parents and legal guardians. It is not directed to children, children do not create accounts, and we do not knowingly collect personal information directly from a child under 13.
The Service does, however, hold a great deal of information about children — names, dates of birth, where they are and when, photographs, and details of their care — because that is what a parent uses it to record. A parent or guardian provides that information and controls it. We handle it on the following terms:
- We do not sell it, and we never have
- We do not use it for advertising, marketing, or profiling
- We do not use it to train artificial intelligence models
- We do not disclose it to anyone other than the people the parent has shared it with, our Service Providers, or where the law requires
- A parent or guardian may access, correct, export, or delete it at any time, as described in this policy
If a child is given access to view a shared calendar, that access is set up and controlled by the parent or guardian.
If you believe a child has provided us with personal information directly, contact hello@kidtime.app and we will delete it promptly.
Security
We use industry-standard safeguards to protect your information, including:
- Encryption in transit (HTTPS/TLS) between your device and our systems
- Encryption at rest for uploaded files, images, and recordings
- Secure cloud infrastructure operated in the United States
- Access controls that limit which of our staff can reach customer data, and to what
- Continuous error and security monitoring
While no system is completely secure, we take reasonable steps to protect your data. If you believe you have found a security problem, please tell us at hello@kidtime.app.
Your Choices and Rights
Wherever you live, you may:
- Access the information we hold about you, and get a copy of it
- Correct information that is wrong
- Delete your account and the information associated with it
- Export your records from within the app
- Enable or disable Google Calendar synchronization at any time
- Revoke Google permissions through your Google Account
- Ask us to exclude you from session recording
To exercise any of these, use the controls in the app or contact hello@kidtime.app. We will respond within the time the law allows — generally 45 days in the United States and 30 days in the European Economic Area and the United Kingdom — and we may need to verify your identity first, which we do using the email address on your account. We will never charge you or degrade your service for exercising a privacy right.
One limit worth stating plainly: where information is part of a record you share with another person, we cannot delete their copy at your request. See Data Retention and Deletion above.
United States State Privacy Rights
If you live in California, or in another state with a comprehensive privacy law, you have the rights described above — to know, access, correct, delete, and receive a portable copy — together with the right to appeal a decision we make about your request, and the right not to be discriminated against for exercising them.
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We have not done so in the past twelve months, including for anyone under 16. There is therefore nothing for you to opt out of, and no “Do Not Sell or Share” mechanism is needed.
Some of what we hold is treated as sensitive personal information — for example precise location, and audio recordings. We use it only to provide the Service you asked for and to keep it secure. We do not use or disclose sensitive personal information to infer characteristics about you.
You may use an authorized agent to make a request on your behalf. If we decline a request, you may appeal by replying to our decision; we will respond to an appeal within the period your state’s law requires.
European Economic Area and United Kingdom
If you are in the EEA or the UK, VMGM Software LLC is the controller of your personal data, and we rely on the following legal bases:
- Performance of a contract — to give you the Service you signed up for: your account, your calendar, your messages, your records.
- Consent — for optional features you switch on, such as calendar synchronization and any feature that records audio. You may withdraw consent at any time by turning the feature off, without affecting processing already carried out.
- Legitimate interests — to keep the Service secure, prevent abuse, diagnose faults, and improve reliability, balanced against your rights.
- Legal obligation — to keep records the law requires us to keep, and to respond to lawful requests.
You also have the right to object to processing based on legitimate interests, to request restriction of processing, to data portability, and to lodge a complaint with your supervisory authority.
We are based in the United States, and the Service Providers who process data on our behalf may process it in the United States and elsewhere. Where personal data is transferred out of the EEA or the UK, that transfer is made under the European Commission’s Standard Contractual Clauses, and the UK International Data Transfer Addendum where it applies, incorporated into our agreements with those providers.

Changes to This Privacy Policy
We may update this Privacy Policy periodically. If we make material changes, we will notify users through the Service or by email. The “Last Updated” date at the top of this policy reflects the most recent revision.
